Meetings

1. KICK OFF Meeting:

The Co.De. project officially commenced with its Kick-off Meeting, held on the 29th of February and 1st of March 2024 at the headquarters of Fundació Tr@ms in Mollet del Vallès, Barcelona. The two-day meeting brought together all project partners for the first time, laying the groundwork for a successful collaboration.

The agenda opened with a welcome coffee and formal partner introductions. Representatives from all consortium organisations—including Fundació Tr@ms, Budakov Films' EOOD, Mamak MEM, European Digital Learning Network ETS, Inspectoratul Școlar Județean Iași, Agrupamento de Escolas José Estêvão, and Aintek—shared their expectations and commitment to the Co.De. project.

Fundació Tr@ms provided an in-depth presentation of the project's objectives, expected results, impact strategy, and success indicators. The day proceeded with detailed overviews of the project’s key work packages. This included WP1 on project management, WP2 on the Co.De. approach for teachers, WP3 addressing classroom implementation, and WP4 focusing on dissemination, exploitation, and sustainability strategies.

The meeting also included interactive sessions, Q&A opportunities, and team-building activities, culminating in a shared dinner in Barcelona to strengthen consortium cohesion. The Kick-off Meeting marked a promising start to the Co.De. project, fostering a collaborative and purpose-driven environment among all partners.

2. First steering committee :

The Co.De. project held its first Steering Committee meeting on 24th May 2024, during the monthly online consortium session.

This marked a significant milestone in the project's strategic coordination, providing a platform for structured oversight and informed decision-making. Representatives from six partner organisations convened to assess the project's progress, with key topics including WP1 implementation, quality assurance, risk mitigation, and the upcoming Competence Model and Moodle customisation.

The presentation of the first quality report served as an initial benchmark for the project’s performance, guiding continuous improvement. Additionally, updates were shared on WP2 developments, the first newsletter, dissemination efforts, and financial reporting. The committee also confirmed the next transnational project meeting (TPM2) for June 2024 and agreed on timelines for subsequent deliverables.

This first Steering Committee established a robust governance structure, ensuring transparent coordination and alignment across all work packages.

3. 2nd TPM online :

On 28th June 2024, the Co.De. consortium held its Second Transnational Project Meeting (TPM2) online, gathering representatives from all active partner organisations. This strategic meeting served to assess the project’s implementation status, particularly in light of the initial delays encountered at the beginning of the project lifecycle. Key updates included the formal acceptance of the partner change by Mammak MEM and progress on the first periodical report, which is set for submission by the end of June. Despite an initial administrative delay, the consortium successfully narrowed the timeline gap, achieving a 70% financial execution rate of the pre-financing phase. Focus also turned to WP2, with AEJE confirming the delivery of the first draft of the Competence Model and associated e-questionnaire by mid-July.

This deliverable is essential for the development of microlearning outcomes and the structuring of the Moodle platform under WP3. Partners agreed to reconvene at the end of July if further discussion is required. The meeting concluded with agreement to maintain the regular online coordination, ensuring the timely progression of key deliverables and strategic alignment across all work packages.

4. Co.De. Consortium Resumes Activities After Summer Break :

Following a short summer break, the Co.De. consortium reconvened for an online meeting on 24th September 2024 to resume project activities and ensure the continuity of progress across all work packages. During the meeting, partners reviewed the outcomes of the previous period. Significant attention was given to WP2, where AEJE is finalising the online e-questionnaire tool for teacher self-assessment. The tool, expected by October, will be reviewed before being uploaded to the project website. Parallel efforts are underway to develop the microlearning outcomes and Co.De.

Learning Snacks. In WP3, Budakov Films shared initial technical considerations for the Moodle platform, with more details to follow in the next meeting. For WP4, Budakov has taken over dissemination activities for the upcoming three months, in coordination with DLEARN. This meeting marked a productive restart for the Co.De. project, ensuring sustained momentum towards its objectives.

5. October 2024 online meeting: Advancing Towards Implementation :

The Co.De. consortium convened online on 22nd October 2024 for its scheduled meeting, continuing the project’s implementation with renewed momentum following the summer restart. The meeting opened with confirmation of the approval of the first periodical report and the second pre-financing payment received. This marks a critical milestone for WP1, allowing resources to be distributed among partners in the coming days. Under WP2, the consortium reviewed the newly developed e-questionnaire, which will be uploaded to the website. Given the technical complexities, the group leaned toward maintaining the tool in English. Partner Iași presented the initial draft of the Learning Outcomes and Learning Snacks. Each partner will create two brief learning snacks by February 2025, using formats such as infographics, quizzes, short videos, or presentations. Progress was also made on WP3, with Budakov Films providing technical guidance on Moodle platform requirements. IDEC, responsible for content development, will work closely with partners to refine unit content and confirm the course’s overall duration.

6. Consortium Meeting: Advancing Digital Outputs and Training Tools :

On 28th November 2024, the Co.De. consortium gathered online, the session focused heavily on WP2 and WP3 deliverables, ensuring alignment as the project moves into its next implementation phase. Within WP2, partners confirmed the e-questionnaire is now live on the project website. Each partner is responsible for preparing two “Learning Snacks”—brief, engaging digital learning resources—aligned with specific learning outcomes. Suggested formats include infographics, quizzes, short videos, or presentations, all in English. Regarding WP3, Budakov Films presented the Moodle learning platform prototype (available at https://toolkit.code-eduproject.eu). IDEC, responsible for the platform’s content development, reminded partners to contribute to their assigned topics. While the total duration of the course remains undefined, the consortium agreed to prepare for pilot training in March–April 2025.

7. Outcomes of the January and February 2025 Online Meetings :

The consortium held two key online coordination meetings on 30th January and 26th February 2025, focusing on finalising learning materials, advancing the Moodle platform, and preparing for the pilot training phase. In WP2, significant progress was made with the finalisation of Learning Snacks and validation of visual identity. All partners confirmed compliance with visual guidelines, and each committed to preparing two Learning Snacks for the upcoming pilot. The pilot phase—scheduled for March to April—will involve 30 participants per country and will be conducted virtually. Translation of content will follow the pilot phase to ensure relevance and accuracy. Additionally, all partners were tasked with securing 30 responses to the e-questionnaire per country by 14th March to complete the dataset. WP3 developments centered on Moodle platform customization and content integration.

While all content is to be uploaded by partners, the platform already reflects the functional features envisioned in the proposal. Resource contributions are being tracked via a shared file, with partners reminded to update their respective sections. Fundació Tr@ms confirmed the submission of the 2nd interim report. Preparations for the April Steering Committee and quality assurance report are underway.

8. Highlights from the February and March 2025 Online Meetings :

The Co.De. project consortium met online on 26th February and 27th March 2025 to consolidate progress across all work packages and prepare for the upcoming pilot phase of the project.

These meetings were pivotal in refining the learning materials, enhancing the online platform, and setting timelines for forthcoming activities.

9. Second Steering Committee Meeting: Progress and Strategic Milestones :

On 24th May 2025, the Co.De. consortium held its Second Steering Committee meeting online to assess project progress and outline upcoming priorities. The meeting confirmed the successful implementation of WP1 activities, including the finalisation of the project’s first quality report and the consolidation of management procedures. Key updates included progress on the Competence Model and the planned launch of the e-questionnaire and Learning Snacks, which are essential components of WP2. The partners also reviewed the ongoing personalisation of the Moodle platform under WP3 and prepared for the second dissemination report and newsletter as part of WP4. With the partner change formally accepted and no contingency measures required, the consortium confirmed the project remains on track. The next transnational meeting (TPM2) is scheduled for June 2025, along with the submission of the first periodic report.

10. Transnational Project Meeting – Aveiro (2–3 July 2025) :

The partnership gathered in Aveiro, Portugal, for a key Transnational Project Meeting hosted by Agrupamento de Escolas José Estêvão. The meeting focused on reviewing progress across all work packages and defining the next implementation steps. Particular attention was given to the development of the “Learning Snacks” (WP2), including pilot testing results and the refinement of educational materials. Partners agreed on finalising translations and improving resources based on teacher feedback. Within WP3, the structure of the training modules and the integration into the Moodle platform were defined, including assessment criteria and certification mechanisms. Dissemination activities (WP4) were also strengthened, with clear targets for social media engagement and upcoming newsletters. The meeting concluded with a shared commitment to finalising outputs, enhancing collaboration, and preparing for upcoming milestones.

11. Online Coordination Meeting (25 September 2025) :

The consortium met online to monitor progress and address pending tasks across work packages. Updates highlighted the need to finalise translations of learning materials and upload remaining resources to shared platforms. Significant progress was reported in the piloting phase, with nearly 200 responses collected from participants. The partnership also reviewed dissemination activities, including the preparation of the fourth newsletter and strategies to increase social media visibility. Clear deadlines were established to ensure the timely completion of deliverables ahead of the next Steering Committee meeting.

12. 3rd Steering Committee Meeting (30 October 2025) :

During the third Steering Committee meeting, partners reviewed the status of learning materials and platform development. All Learning Snacks and pilot materials were confirmed as uploaded, while Moodle platform validation was successfully completed. Partners were committed to finalising all educational content by the end of the year. Dissemination efforts were reinforced, with the upcoming newsletter and reporting activities highlighted. The meeting also addressed preparations for the National Agency monitoring visit, ensuring that all administrative and technical documentation was in place.

13. Follow-up on the National Agency Feedback (7 November 2025) :

A dedicated follow-up session was organised to discuss the outcomes of the meeting previously held between the project coordinator, Fundació Tr@ms, and the Spanish National Agency (SEPIE). The consortium reviewed the feedback received, focusing on key areas such as inclusion, innovation, and impact evaluation. Partners reflected on the recommendations provided, including the need to strengthen the needs analysis, refine dissemination strategies, and enhance the long-term sustainability plan. This internal exchange enabled the partnership to better align the project with Erasmus+ priorities and to further improve the quality and relevance of its outputs.

14. Online Coordination Meeting (26 February 2026) :

The consortium reconvened online to assess the final stages of WP3 development and prepare for upcoming activities. Partners confirmed that most learning materials were completed and ready for integration into the Moodle platform, pending final validation. The structure and agenda of the “Train the Trainers” (LTTA) event in Greece were agreed upon, with a focus on interactive and practice-oriented sessions. Key decisions were also made regarding translations and piloting activities, scheduled for the months following the LTTA. Discussions further addressed project governance and planning for the final phases, including the last transnational meeting and the final event.

15. Online Coordination Meeting (26 March 2026) :

The latest online meeting focused on final preparations for the LTTA and the completion of project outputs. Partners reviewed the integration of materials into Moodle, the development of user guides, and the planning of translations and piloting activities. Communication and dissemination actions were also updated, including the preparation of the next newsletter and website articles. The meeting concluded with final coordination steps for the LTTA and the upcoming Transnational Project Meeting in Greece, marking a crucial phase towards the project’s completion.

LTTA Activities :

On 27–28 April 2026, teachers from all partner countries gathered in Piraeus, Greece, for the Co.De “Training of Trainers” learning mobility activity. During this intensive two-day programme, participants explored and experienced a wide range of co-design methodologies and collaborative learning tools that can be integrated into educational practice. Through hands-on workshops and interactive activities, teachers deepened their understanding of techniques such as role-playing, storyboarding, flash-thinking challenges, lifeboat exercises, mentoring and critical friends, user testing, and crowdsourcing. The mobility provided a valuable opportunity for peer learning, international exchange, and capacity building, equipping educators with innovative approaches to foster creativity, participation, and learner-centred design in the classrooms of the future.

Co.De. Partners Meet in Piraeus to Advance Project Activities:

On 28 May 2026, the partners of the Co.De. project gathered in Piraeus, Greece, for a Technical Project Meeting (TPM) and Steering Committee meeting hosted by IDEC. The meeting provided an important opportunity to review the progress achieved after the Learning, Teaching and Training Activity (LTTA) and to coordinate the next steps towards the successful completion of the project. Partners reviewed the positive outcomes of the Train-the-Trainers activity, discussed the translation of training materials, and agreed on the implementation of the piloting phase involving teachers and students across all partner countries. The consortium also addressed sustainability and dissemination activities, including preparations for final events and stakeholder engagement actions. Following the successful LTTA activities, partners agreed that the next TPM and Steering Committee meeting should be organised in person whenever possible, rather than exclusively online. This decision aims to strengthen cooperation and support effective coordination during the final phase of the project. The consortium would also like to express its sincere thanks to IDEC for the excellent organisation and warm hospitality throughout these meeting days. It was a pleasure for all partners to come together, exchange ideas, and work collaboratively in the beautiful city of Piraeus.
